Change orders

A change order is a documented change to a contract’s scope, cost, or schedule. SubmittalLink tracks each change order’s amount, status, review, and payment. Approved change orders roll up into the related contract’s revised amount.

Some projects use a custom label for change orders. The workflow is the same.

  1. Go to More → Change Orders and click Create.
  2. Fill in:
    • Number and Title
    • Change Order Manager
    • Contract: the contract this change applies to
    • Amount
    • Days: only when time change orders are on
    • Status: Draft, Pending, Approved, or Rejected
    • Invoiced Date and Paid Date
    • Assignee
    • CC, Notes, and Attachments
  3. Turn on Send Email Notification to send email notifications. Turn on Paid once the change order has been paid.
  4. Click Create.

Reviewers click Add Review on the change order and choose a Review Status: Pending, Approved, Rejected, or Revise and Resubmit. They add notes and attachments, then click Submit Review. To change a review later, use Update Review.

Owners and project managers can click Export PDF on the Change Orders list to download a change order log.

On the linked contract:

  • Approved change order amounts add to the Revised Contract Amount.
  • Pending change order amounts are shown separately and aren’t included.
  • With time change orders on, approved days add to the contract’s Revised Duration.

Yes. All project roles can view change orders. Only owners and project managers can create or edit them.

Yes. Turn on Time Change Orders in project settings, then enter Days with no amount. See Time extensions.

No. Change orders have an Invoiced Date and a Paid Date, but no due date.

Do pending change orders change the contract amount?

No. Only approved change orders are added to the Revised Contract Amount. Pending amounts are shown separately.
