RFI email notifications and reminders
SubmittalLink emails RFI assignees and other stakeholders when an RFI is created or updated, and sends reminders on and after the due date.
Who receives RFI emails
Section titled “Who receives RFI emails”When Email Notifications is on and the project’s Turn Off All Email Notifications setting is off, RFI emails go to:
- Assignees
- The RFI manager
- Everyone on the Cc list
Draft RFIs don’t send emails.
Delay RFI Notification Emails (10 minutes)
Section titled “Delay RFI Notification Emails (10 minutes)”When the project owner turns on Delay RFI Notification Emails (10 min), SubmittalLink waits 10 minutes before sending RFI create and update emails.
- Each edit during the wait restarts the 10-minute timer.
- The email that goes out reflects the latest version of the RFI.
Use this if your team often fixes typos or adds attachments right after creating an RFI. Recipients get one clean email instead of several.
Due-date reminders
Section titled “Due-date reminders”When reminders are sent
Section titled “When reminders are sent”By default, SubmittalLink sends two reminder emails:
- On the due date
- Two days after the due date
To change how many reminders go out or how often, contact your SubmittalLink account representative or support@submittallink.com.
Skip weekends
Section titled “Skip weekends”Turn on Do Not Send Reminder Emails on Weekends in project settings to skip reminders on Saturday and Sunday.
Who gets reminders
Section titled “Who gets reminders”RFI reminder emails go to:
- The RFI manager
- The RFI’s assignees
On Sequential RFIs, reviewers who are only on review steps (not listed as assignees) don’t get these reminders.
Notify specific people
Section titled “Notify specific people”Owners and project managers can use Notify Users on an RFI’s row to email selected project members, with an optional note.
