Contracts

The Contracts module tracks each agreement on the project: the prime contract with the owner, subcontracts, and purchase orders. Each contract shows its original amount, approved and pending change orders, and the revised contract amount.

Who can do this

Owners and project managers only. Consultants, subcontractors, and field users can’t see contracts.

Create a contract

1. Go to More → Contracts and click Create.
2. Choose the Contract Type:
   • Contract with Owner: the prime contract. One per project.
   • Subcontract
   • Purchase Order
3. Choose the Status: Draft, Out For Bid, Out For Signature, Approved, Executed, Complete, Terminated, or Void.
4. Select the Contract Company from your project’s vendors.
5. Enter the Title, Number, Contract Date, Original Contract Amount, Notes, and Attachments.
6. If time change orders are on, enter the Duration (in days).
7. Click Create.

Contract totals

When you open an existing contract, SubmittalLink shows these read-only totals:

• Approved change orders: sum of approved change order amounts
• Pending change orders: sum of pending change order amounts
• Revised Contract Amount = Original Contract Amount + approved change orders

With time change orders on, you’ll also see Approved CO Days and Revised Duration.

Frequently asked questions

Can I have more than one prime contract on a project?

No. Each project can have only one Contract with Owner. Add as many subcontracts and purchase orders as you need.

Can subcontractors see their subcontract in SubmittalLink?

No. Contracts are visible only to owners and project managers.

How is the revised contract amount calculated?

Original Contract Amount plus the total of approved change orders. Pending change orders are shown separately and aren’t included.

Can I export my contracts?

Yes. The Contracts list exports to CSV and PDF.
