Tasks

Tasks are action items with an owner, assignees, a due date, and optional recurring reminders. Use them for anything that isn’t a submittal or RFI, like “send updated schedule to owner” or “confirm crane date.” View tasks as a list or a kanban board.

  1. Go to Left menu → Tasks and click Create.
  2. Fill in:
    • Number and Title
    • Task Manager: the person who owns the task
    • Task Detail: click AI Enhance to polish it
    • Status: Open (default), Draft, or Closed
    • Priority: High, Medium (default), or Low
    • Due Date
    • Reminder Frequency: None (default), Daily on weekdays, Twice a week, Weekly, Biweekly, or Once a month
    • Assignees and Distribution List (Cc)
    • Attachments
  3. (Optional) Turn on Require Attachment for Responses if assignees must upload proof, like a photo or signed form.
  4. Turn on Email Notifications to email assignees.
  5. Click Create Task, or Create and Send Emails.

Switch between List view and Board view. SubmittalLink remembers your choice.

  • Board view has Draft, Open, and Closed columns. Drag a card to change its status.
  • Sort the board by number, title, due date, priority, or created date.
  • List view has quick filters (In My Court, Open, Late), Columns, search, and Export PDF.

You can respond to an open task if you’re an assignee, ball in court, the task manager, or an owner, project manager, or field user. Open the task, add your response and any attachments, and submit.

With Email Notifications on, task emails go to the assignees, the task manager, and the distribution list. Reminder emails go to whoever is currently ball in court and the task manager, on the schedule set by the task’s Reminder Frequency.

Can I require a photo before a task is completed?

Yes. Turn on Require Attachment for Responses so assignees must attach a file when they respond.

Yes. Switch to Board view and drag cards between Draft, Open, and Closed.

No. Only owners, project managers, and field users create tasks. Subcontractors can respond to tasks assigned to them.
